This “Licensing docMgt Products” article focuses on the process of licensing your products once you have installed them. In this article we will talk about what a license is, when to license, why to license and how to license your docMgt products.

This article will focus mostly on the How but will touch on the basics of the What, When and Why just to give you an idea of the reasoning behind the licensing. For a more complete description What, When and Why please refer to the End User License Agreement of each product directly.

All licenses are now applied to the server only so this article should only be used for the Server product. The server license will control the usage all other products accordingly.

 

What is a License?

There are two parts to a docMgt license. The first part is legal and the other is digital.

The Legal aspect is that the license give you a “legal right” to use the docMgt software. By attaining a valid license you are then given the legal right to use the docMgt software for production use. You can attain a valid license by paying the appropriate license fee through a official docMgt dealer/reseller.

The Digital aspect is that the license is a digital “file” that is applied to your installed copy of the docMgt software. When you pay the license fee you are then sent a “license file” via email or other digital download mechanism. That file is your license and therefore should be kept safe and secure along with your receipt of payment for proof of ownership.

When to License

Each license that is delivered requires a license fee to be paid. There are no exceptions to that. The good news is – for most cases, you only need to license your products if you are installing a production copy. If you are installing a copy for review, testing or development purposes you should not need to get a license.

All docMgt products function with 100% feature availability when not licensed. In the docMgt server product each screen is tagged with a “Demo” or “Unlicensed” label so the users know they are not running a licensed copy. In docMgt Importer you must answer a YES/NO prompt for the Importer to run when not licensed. This prohibits an unlicensed Importer from running in an automated fashion. It will still allow the importing to happen as long as a user is there to answer the prompt. In docMgt OCR Engine you must hit a random key for the it to run when not licensed. This prohibits an unlicensed OCR Engine from running in an automated fashion. It will still allow the importing to happen as long as a user is there to touch the proper key.

So if you are just installing to demonstrate or test functionality you will NOT need a license. If you are installing a copy for production use you MUST get a valid license to comply with the license agreement.

Why to License

If you are an official dealer/reseller of the docMgt product line then you have the right to install unlicensed (demo) copies of the docMgt software for use in the sales and support process only. You do NOT have the right to install production copies for your entity or any other entity without attaining a valid license. To put it simply – unlicensed (demo) copies are meant to help you demonstrate the software in order to better sell it and support it. Any other use must be licensed.

If you are NOT an official dealer then you must ALWAYS license your docMgt products to be able to use them. The only exception is when an official dealer installs a copy for or with you for a limited review period. This is done at the dealer’s discretion and must be done in accordance with the docMgt Reseller Agreement.

How To License

At the time of this writing there are three (3) products that require licensing – docMgt Server, docMgt Importer Service and docMgt OCR Engine. Each product licenses in a similar way but the mechanics are slightly due to the nature of the way the products run.

For each product the basic flow is the same – install the product, run the license tool, fill out the license request form, receive the license file and place the license file in the application’s working directory.

The important thing here is that you MUST run the licensing application on the same machine on which the software is installed. The license codes it creates are tied to the machine in various ways so a license from one machine will not work on another.

docMgt Server

docMgt Server is a Web application which runs using the IIS (Internet Information Services) core from Microsoft. Due to that fact its “working” directory is in a folder managed by IIS. The paths we talk about here are the default and typical paths but they may be different based on your particular installation if you have customized your IIS setup.

Step One – Install the Product

Install as normal using the installer. If you need help with installation there is a PDF that is distributed with each installer that has helpful information in it.

Step Two – Run the License Client

The installer places the docMgt Licensing Program inside the Program Files folder. It also creates a shortcut to the licensing program in the start menu of the computer. Open your Start menu and navigate to docMgt Server. There you will find a shortcut labelled License docMgt Products. Click that to open the Licensing Application.

Once started, the licensing program creates a unique key for this particular computer. The key is displayed in the top box. In this examples we are only showing ####-####-####-####-#### but in a real work example this would be letters and numbers in place of each # sign.

Click the Open Request Form button to launch a web browser to the docMgt License Request Form. Typically form will be automatically filled with the license key and more. However, there are instances where the form will load blank. If that happens just copy the key from the licensing application and paste it into the form. Fill out the rest of the form and click the Send Request button.


 

At this point of the process you have done all you can for the time being. When the request is received the order will be reviewed and validated. Once validated a license file will be generated and will be sent to you via the email address you supplied in the request form.

Once you receive your license file it may or may not be in a ZIP file. If it is then be sure to extract the contents of the ZIP file before applying the license. The file you need to have for the server license is named license.license (the name may change from time to time but the extension will remain *.license). Copy that file to the C:\Inetpub\wwwroot\docMgt\bin folder. When you drop that new file into the folder IIS will restart itself automatically. The next time you load your browser to the server the “Demo” or “Unlicensed” labels will be gone.

docMgt Importer Service

docMgt Importer Service is a Windows Forms application which runs either manually or via a Scheduled Task. Due to that fact its “working” directory is in a folder under the Program Files (x86) folder. The paths we talk about here are the default and typical paths but they may be different based on your particular installation if you have customized your setup.

Step One – Install the Product

Install as normal using the installer. If you need help with installation there is a PDF that is distributed with each installer that has helpful information in it.

Step Two – Run the License Client

Due to the nature of the Importer Service we have simplified the licensing process. When you run the an unlicensed Importer it will ask if you wish to license it. Say NO to continue in demo mode or say YES to run the licensing application.

Once started, the licensing program creates a unique key for this particular computer. The key is displayed in the top box. In this examples we are only showing ####-####-####-####-#### but in a real work example this would be letters and numbers in place of each # sign.

Click the Open Request Form button to launch a web browser to the docMgt License Request Form. Typically form will be automatically filled with the license key and more. However, there are instances where the form will load blank. If that happens just copy the key from the licensing application and paste it into the form. Fill out the rest of the form and click the Send Request button.

It will also run in unattended mode for use with scheduled tasks.

docMgt OCR Engine

docMgt OCR Engine is a Windows Forms application which runs either manually or via a Scheduled Task. Due to that fact its “working” directory is in a folder under the Program Files (x86) folder. The paths we talk about here are the default and typical paths but they may be different based on your particular installation if you have customized your setup.

Step One – Install the Product

Install as normal using the docMgt Server installer. One of the options is to install the OCR Engine. If you need help with installation there is a PDF that is distributed with each installer that has helpful information in it.

Step Two – Run the License Client

Since this is installed along with docMgt Server, you can use the same license application that you used in the docMgt License section. The installer places the docMgt Licensing Program inside the Program Files folder. It also creates a shortcut to the licensing program in the start menu of the computer. Open your Start menu and navigate to docMgt Server. There you will find a shortcut labelled License docMgt Products. Click that to open the Licensing Application

Once started, the licensing program creates a unique key for this particular computer. The key is displayed in the top box. In this examples we are only showing ####-####-####-####-#### but in a real work example this would be letters and numbers in place of each # sign.

At this point of the process you have done all you can for the time being. When the request is received the order will be reviewed and validated. Once validated a license file will be generated and will be sent to you via the email address you supplied in the request form.

Once you receive your license file it may or may not be in a ZIP file. If it is then be sure to extract the contents of the ZIP file before applying the license. The file you need to have for the server license is named docMgt.OCR.licence (the name may change from time to time but the extension will remain *.license). Copy that file to the C:\Program Files (x86)\docMgt\OCR\OCRMonitor folder. The next time you run the OCR Engine it will no longer require a random key press. It will also run in unattended mode for use with scheduled tasks.
